Hiring and onboarding new remote employees is a very different process than traditional methods. They don’t show up on their first day on the job at the office. There isn’t a standard walk around the company to introduce them to their coworkers and management. You can’t just immerse them in the company culture to give them a taste of what to expect.

Onboarding remote employees can be challenging. There is more planning involved. You need to coordinate schedules with a variety of people, leverage technology, ensure they have the right setup at home, and manage many other moving parts.

In this blog, Toronto recruiters share some tips to set up a successful onboarding process for your remote employees:

1. Send employees the tools they need to do the job: Make sure all new hires have access to the same tools and technology as others. Try to send them equipment like laptops and access to cloud software and other tools as soon as possible. The earlier the better. The quicker they can get set up, the more comfortable they will feel doing the job.

2. Digitize all paperwork and training: Transfer all paperwork and training online so new hires can have quick access to all resources.

3. Have a team meeting: Hold a virtual team meeting with the people the new employees will be working with. Rather than a call, set up a video chat. This will allow new hires to be able to put a face to a name and more quickly get acquainted with the team. Then schedule regular/ongoing/brief check-ins between the new employee and the team. This will help mirror the informal interactions that would typically take place in the office.

4. Provide your managers with proper training: Onboarding in a virtual environment is different. Train your managers on how to properly approach onboarding in this new situation.

5. Provide more one-on-one guidance: All new employees need guidance and help to ramp up. This is even more important in an online environment. Schedule one-on-one time with new employees and managers, coworkers, and others to ensure they get the support they need as they learn the job.

6. Use collaborative tools internally: Working remotely can be isolating, especially for new employees who don’t know anyone. Make use of collaborative and social tools to make it easier for remote employees to engage with others and be part of the team. Internal messengers, social platforms, forums, and other applications can help remote employees feel more like part of the team.
