We are actively recruiting for a REAL ESTATE LEGAL ASSISTANT role for a highly reputable downtown Toronto law firm to join their Real Estate Team!

The permanent, hybrid role will encompass providing crucial support to two Real Estate Partners by efficiently managing various administrative tasks within the real estate department. 

Key Responsibilities:
  • Assist in secretarial tasks, including document creation and correspondence, ensuring accuracy and making necessary revisions.
  • Provide comprehensive administrative support such as completing expense reports, managing courier forms, and handling file organization tasks like photocopying, scanning, and filing.
  • Maintain professional communication with firm members and clients.
  • Manage document distribution, mailing, and binding.
  • Coordinate appointments, meetings, and conferences.
  • Generate pre-bills for monthly billing and facilitate travel bookings and reservations.
  • Assist in preparing minute books and maintain organized correspondence, invoices, and receipts in both paper and digital formats.
  • Ensure file maintenance compliance by eliminating unnecessary materials and transferring inactive files to storage.
  • Collaborate on special projects as required and perform other assigned duties.
Qualifications:
  • A Legal Assistant Diploma from an accredited institution.
  • Minimum of 5 years' experience in real estate practice within a law firm.
  • Strong multitasking abilities, capable of managing conflicting priorities within tight deadlines.
  • Excellent verbal and written communication skills, with a focus on quality service.
  • High level of accuracy and attention to detail.
  • Proactive with well-developed organizational and time management skills.
  • Team player mindset with strong relationship-building and customer service abilities.
  • Proficiency in Microsoft Office suite, including Word, Excel, and PowerPoint.
  • Skilled in transcription and proofreading.
  • Ability to work independently with minimal supervision.
  • Familiarity with Teraview and Conveyancer is advantageous.
  • Demonstrates discretion in handling confidential information.
  • Willingness to learn and adapt to workflow schemes and in-house processes.
  • Hands-on experience with pre-billing administration, preferably using 3E.
  • Familiarity with Document Management Systems (DMS) is a plus.
