Job Description


Our client is a global medical communications agency and they are looking for a detail-oriented, high-energy project manager to join their growing team of medical communications specialists. The successful candidate will experience working in a pharmaceutical or healthcare communications agency and have the ability to multi-task and work in a deadline driven environment. We need someone who can anticipate program requirements, prioritize and consistently meet deadlines as well as understand the needs of building relationships with teammates, clients and vendors.

The team is made up of a group of over 30 high-achievers who have a passion for their work, a sense of humour and the desire to make a difference.


  • Development of medical communications programs, clinical program consultation and investigator training implementation, advisory meetings and e-learning solutions.
  • Developing client relationships regarding these areas of responsibility.

Medical communications program development and implementation:

  • Develop drafts of programs and presentations, articulation of key messages, develop physician communications, reports, collateral materials and agendas
  • Work with physicians and clients in development and implementation of accredited and non-accredited e-learning medical education programs, advisory boards, clinical trial results and investigator meetings.
  • Work with teams to ensure smooth and timely program implementation
  • Liaise with physicians and clients as part of program implementation

 Meeting oversight

  • Contribute to the planning and implementation of Advisory Boards, expert panel meetings and other scientific/study-focused meetings
  • Contribute to conduct of investigator/study coordinator meetings
  • Create and oversee development of meeting collateral material
  • Assist with management of faculty speakers/ relationships (build relationships with key physicians, specialists and stakeholders); liaison with key opinion leaders
  • Facilitation of meetings and/or workshops
  • Assist in preparation of meeting reports

Account Management

  • Attend client meetings and prepare drafts of client correspondence, memos, contact reports related to projects
  • Assist with preparing/reviewing budget proposals and financial agreements and oversee fiscal management of accounts
  • Create and track program timelines

New Business Development

  • Assist new business development by doing research, collecting information, creating competitor profiles, etc.
  • Prepare for/participate in new business pitches and creative sessions

Desired Skills & Experience

  • 3+ years experience as a Project Manager in an agency environment
  • 2+ years experience working on a healthcare/pharma client
  • PMP Certification
  • Organized and proactive
  • Excellent time management skills and communication skills, including writing and proof reading (in English – French is a definite asset)
  • Able to prioritize and multitask
  • Strong preference for candidates with Diabetes/Metabolic disease experience
  • Professional and dependable with good interpersonal skills
  • Excellent attention to detail with a strong client service ethic and high expectations for quality
  • Exceptional communicator with strong command of English language and above average written and oral communication skills
  • Strong team player who brings a high-energy approach to client service and delivering results
  • This position occasionally requires working evenings and weekends.  It also includes regular international travel.
