Controller
Compensation: $180,000–$220,000
 
We are representing a private family office in the search for a Controller to oversee cash management, operating company support, family office coordination, and personal administrative matters for the Principal and her households.

Key Responsibilities

Cash Management
  • Lead personal bill payment processes and cash balance management and forecasting in collaboration with the Principal’s Family Office, utilizing RBC Express for daily operations and RBC Private Banking for large expenses such as renovation and building costs
  • Reconcile monthly staff and household credit card statements and collaborate with the Chief of Staff on employee expense reports
  • Act as a point of contact for household staff regarding credit card structures and cash pick-ups for the Principal
  • Develop annual household cost projections and track actual expenses for quarterly review with the Principal
  • Coordinate payment processes with new vendors to ensure payments are made accurately and on time
Operating Company Support
  • Support the operating company team with budgeting, cash management, property insurance monitoring, tax compliance, and annual filings
  • Support the VP of Operations and Senior Accountant in developing the annual budget
  • Manage the operating company’s banking relationship
  • Oversee payment processes and ensure established protocols are followed
  • Oversee property insurance coverage and coordinate changes as required
  • Support the Senior Accountant with year-end processes, including reviewing financial statements and tax returns and providing notes
  • Assist with maintaining the Employee Handbook and ensuring it remains current with changing employment regulations
  • Review new vendor contracts for service providers and trades, obtaining legal support as applicable, and ensure NDAs are issued to all new service providers
Family Office & Personal Support
  • Serve as the bridge between the Principal, Family Office, and external advisors, ensuring priorities are aligned and acting as the Principal’s right hand on complex matters
  • Coordinate calls with professional advisor groups and maintain meeting minutes
  • Maintain a monthly Personal Net Worth Statement for review with the Principal and Family Office
  • Oversee charitable commitments, ensuring grants are made on time and working with organizations to produce annual impact reports
  • Work closely with the Principal’s CIO and Family Office to develop quarterly short-term liquidity funding from long-term assets, obtain the best rates for short-term working capital, and manage foreign exchange impacts
  • Assist with searches for new household staff in collaboration with the Principal, Chief of Staff, and Family Office
  • Host biweekly meetings with the Family Office and Principal, pending availability, to discuss process effectiveness, upcoming priorities, and administrative responsibilities
  • Provide support to the Principal on projects as assigned
Record Keeping & Property Oversight
  • Reconcile build and renovation costs against supporting documentation to ensure costs are appropriate and reflective of quality
  • Maintain cost basis for properties
  • Maintain written or visual records of current processes, particularly cash management processes, for the Principal’s reference
  • Oversee personal property insurance coverage and maintain an inventory of valuables, including art and jewelry, ensuring appraisals are up to date
