Executive Assistant to the CEO
Location: Toronto/GTA (Hybrid)
Compensation: $100,000
 
We are representing a growing financial technology company seeking a highly experienced Executive Assistant to the CEO. This hybrid role combines remote work with periodic in-office attendance as required.

The Executive Assistant provides strategic, high-level, and confidential support to the CEO, while also providing periodic support to members of the Executive Leadership Team (ELT). As a trusted business partner, the EA plays a critical role in enabling executive effectiveness by proactively managing priorities, coordinating complex schedules, facilitating executive communications, and supporting key governance and organizational initiatives.

This position is ideal for a seasoned Executive Assistant who thrives in a fast-paced environment, exercises exceptional judgment and discretion, and has extensive experience supporting senior executives and board-level activities.

Key Responsibilities

Executive Support
  • Provide comprehensive executive support to the CEO, including complex calendar management, meeting coordination, travel planning, and preparation of briefing materials
  • Coordinate meetings across multiple time zones and manage competing priorities
  • Prepare, review, and process monthly expense reports, ensuring accuracy and compliance with company policies
  • Draft, edit, and format executive correspondence, reports, presentations, and other business documents
  • Anticipate executive needs, proactively resolve scheduling conflicts, and ensure the CEO is well prepared for meetings and engagements
  • Handle highly confidential and sensitive information with the utmost discretion
Board & Governance Support
  • Coordinate activities related to quarterly Board of Directors meetings, including preparation of board packages, meeting logistics, and tracking action items
  • Support the CEO in maintaining governance documentation and ensuring timely submission of board materials
Meeting & Communication Coordination
  • Facilitate Executive Leadership Team meetings, including agenda preparation, minute-taking, and follow-up on action items
  • Serve as a primary point of contact between the CEO, ELT members, and internal and external stakeholders
  • Manage incoming requests and correspondence, ensuring timely responses and appropriate prioritization
Operational & Project Support
  • Coordinate travel arrangements, itineraries, and logistics for the CEO and designated executive team members
  • Support strategic projects, research initiatives, and special assignments on behalf of senior leadership
  • Maintain efficient administrative processes that support executive and organizational effectiveness
Relationship & Stakeholder Management
  • Build and maintain strong relationships across the organization to facilitate effective communication and collaboration
  • Represent the Office of the CEO with professionalism, diplomacy, sound judgment, and exceptional service
Event & Office Management
  • Partner with Executive Leadership, Marketing, and People & Culture teams to coordinate meetings, events, and corporate initiatives, including venue selection and logistics management
  • Oversee office and premises logistics
Qualifications

Required
  • Diploma or Bachelor’s degree in Business Administration, Communications, or a related field
  • Minimum 7 years of progressive executive administrative experience
  • Minimum 5 years supporting C-suite executives, preferably a CEO or Executive Leadership Team
  • Demonstrated experience supporting Boards of Directors and board-level governance activities
  • Experience working in complex, fast-paced, and growth-oriented organizations
  • Advanced proficiency in Microsoft 365, including Outlook, PowerPoint, Excel, Teams, and SharePoint
  • Exceptional organizational, time management, and prioritization skills with meticulous attention to detail
  • Strong written and verbal communication skills
  • Proven ability to manage highly confidential information with discretion and sound judgment
  • Strong problem-solving skills, adaptability, and ability to work independently with minimal direction
Preferred
  • Professional administrative certifications such as CAP or PACE
  • Experience supporting organizations in the technology, fintech, or high-growth sectors
