As part of their team, you'll dive into the exciting world of legal administration, helping to craft litigation documents and support their lawyers in various administrative tasks. 

What You'll Be Doing:
  • Assist in the preparation and assembly of litigation and court documents, such as affidavits, notices, motion records, factums, and books of authorities, ensuring accuracy and compliance with legal requirements.
  • Liaise with process servers to coordinate the service and filing of court materials, ensuring timely and efficient processing.
  • Manage communication with court offices to schedule trial and motions bookings and facilitate related court material filings.
  • Draft and edit various correspondence and documents, including memos, letters, emails, reports, presentations, court forms, and court documents, adhering to established precedents and instructions.
  • Demonstrate independent judgment and resourcefulness in resolving administrative issues that may arise.
  • Support lawyers in the administrative management of their practices, including opening and closing files, scheduling meetings, and arranging travel and accommodations as needed.
  • Provide administrative assistance with docket entries, client list updates, coordination of billings, processing expenses, and payment of invoices in accordance with firm accounting policies.
  • Apply meticulous proofreading and editing skills to ensure accuracy, completeness, and appropriate formatting, spelling, and grammar in all work products.
  • Serve as a liaison between lawyers and internal/external parties to provide updates on file progression and address any related matters.
  • Maintain an organized and up-to-date file system, both electronically and in paper format, for client files.

What You Bring:
  • Post-secondary education in legal administration or equivalent, coupled with a minimum of five years' experience in a similar role.
  • Thorough knowledge of the Rules of Civil Procedure, Federal Court Rules, and court practices and procedures.
  • Proficiency in Aderant or similar legal-specific billing technology, with a solid understanding of the billing lifecycle and processing expenses and invoices.
  • Excellent organizational and communication skills, both verbal and written, enabling effective interaction with clients and colleagues at all levels.
  • Proactive problem-solving mindset, actively seeking opportunities to improve the efficiency of legal practices.
  • Service-oriented, adaptable, and dependable, demonstrating professionalism, confidentiality, and discretion in all tasks.
  • A collaborative team player with a positive attitude and willingness to take initiative in addressing challenges.
  • Proficient in Microsoft Office applications.
